Deep dive

How 5-15 people keep order without a dedicated ops manager

5 chapters

In a small business nobody stays in one lane. Monday you are sales. Tuesday you are support. Thursday you are paying invoices. The tool has to survive fast hat-switching and not demand a half-time admin to keep it alive.

One workspace for all four roles

A team of eight cannot afford a separate CRM, a separate task tracker, a separate help desk, and a separate marketing planner. That is four subscriptions, four logins, and four places where something gets lost. Easylim keeps sales, marketing, ops, and support in one workspace — with different tabs, filters, and dashboards but a single list of people, tags, and clients.

In practice this means: you run morning standup on the Ops tab, swing into Sales after lunch to nudge three leads, then check Support in the evening and see two open tickets. All three contexts share the same customer, the same owner, the same history. No copy-pasting emails from one tool into another.

This does not mean Easylim replaces a specialised POS or a warehouse system. But day-to-day coordination between roles stays in one window — and that is the most expensive time in a small business.

  • One contact database — a sales lead is automatically visible in support
  • Shared tags (vip, repeat, churn-risk) work across all four tabs
  • Owner dashboard rolls up metrics from 4 functions on one screen — no exports

Founder and operator look at the same backlog differently

A classic 5-15 person conflict: the founder wakes up wanting to redesign pricing, while the operator can see eleven unpaid invoices and an unsigned April payroll run. Both are right. Both are looking at the same backlog. The priorities differ.

Instead of making two separate boards (which will drift within a week), use saved filters: one view called Strategy sorts by growth impact, another called Ops sorts by urgency and cash. Same record, two angles. At the weekly 1-on-1 you open both and discuss where the views disagree — that is the real priority conversation, not a status meeting.

This pattern works for product-marketing pairs, design-frontend pairs, salesperson-fulfilment pairs. One list, two priority fields, two saved views. No double entry.

  • Each person creates their own saved filter with their own sort
  • At 1-on-1, compare the two views and agree the top three
  • No data duplication — change once, both views update

A simple client pipeline without a $150/seat CRM

Salesforce for an eight-person team is like buying a delivery truck to fetch a pint of milk. You need four stages: lead → quoted → delivering → paid. That covers 90% of B2B services up to 15 people: studios, agencies, boutiques, local services.

The key move is keeping the Delivering stage on the same board as Sales. Most CRMs stop thinking about a customer once the contract is signed. But that is exactly where the risk shifts: unsigned scope, forgotten milestone invoice, slipping deadline. Keep delivery next to sales and every Friday review closes the loop automatically.

Worth tracking at this stage: quoted-to-paid conversion (under 30% means weak qualification), average ticket size, average cycle. Three numbers, not a dashboard with 40 charts nobody reads.

  • Delivery stage on the same board — no handoff between tools
  • Automatic 'paid?' reminder 7 days after stage closes
  • Customer tags (vip, repeat, slow-pay) inform future routing

A meeting rhythm that does not eat the week

The biggest unforced error in small teams is copying corporate calendars. If you have eight people, you do not need twenty hours of meetings a week. It will swallow the very work you hired them for.

A working minimum: Monday 15-minute standup (what shipped, what blocks), Wednesday 30-minute 1-on-1 with the key person, Thursday 45-minute planning for the next week, Friday 30-minute retro (what works, what does not). Tuesday is meeting-free. That is two hours of meetings, leaving 38 for focused work.

If meetings creep up, ask of each one: 'Could this be a comment on a task?' In about 70% of cases — yes. Keep discussion inside tasks, save meetings for decisions that need a live voice.

  • Tuesday as no-meeting day protects eight hours of focus a week
  • Retros shorter than standup — bound by clock, not agenda
  • Rule of thumb: if you can write the decision, skip the meeting

When Easylim is the wrong call (and that is fine)

The honest part: Easylim will not replace Salesforce if you already have 60 quota-carrying reps, complex territory segmentation, thousands of active deals, and regulatory requirements for archiving communications. That is a different class of problem.

For a small business the full corporate suite is expensive in three dimensions: $150+ per seat per month, six weeks to roll out, and often a half-time admin role to keep workflows tuned. For an eight-person team this is overhead that eats your margin. See the enterprise page if you are growing in that direction — it covers the trade-offs that come with scale.

Signals you have outgrown Easylim: headcount past 50, formal departments with separate KPI ownership, mandatory SAML SSO with SCIM provisioning, multi-year contracts with custom clauses. Until those exist — do not pay for a future that may not arrive.

  • Not for teams of 60+ with a dedicated sales-ops function
  • Not for businesses with complex territory commission models
  • Not for regulated industries with strict communication archive requirements
