Deep dive

What Easylim actually is — and how it replaces 5–8 SaaS in your stack

5 chapters

Most teams don't land on Easylim because they're shopping for yet another task tracker — they land here because they're tired of paying for Trello + Notion + Loom + Figjam + Calendly + Slack all at once. This piece is for people who want to understand how it works before signing up: the philosophy of the workspace, who it fits, what a real workday inside it looks like, and when you should absolutely pick something else. No marketing — practitioner to practitioner.

What Easylim is — a workspace, not another task tracker

Easylim is a single workspace that holds tasks, docs, boards, calendar, time and chat in one database. It's not "a task tracker with docs bolted on" and it's not "a wiki with a Kanban tab". It's one data graph rendered by different UI views.

Sounds like a detail — it's actually the whole point. In Notion, a task is a page with metadata. In Trello, a card with no link to any document. In Linear, an issue living in its own universe. In Easylim, a task is an object that simultaneously exists in a list, on a Kanban board, in a Gantt chart, on a calendar, and links to a document. Switch the view and you see the same task differently — no migrations, no exports.

This design fixes a problem most teams don't even notice: tool drift. When the task is in Jira, the discussion is in Slack, the spec is in Notion, and the time is in Toggl — none of it is connected. Managers spend ~30% of their day stitching a picture together from five sources. In Easylim the picture is already assembled — because it's one source.

  • Not "a tracker with modules" — a shared data graph with different UIs over it.
  • A task is an object; views (list, Kanban, Gantt, calendar) are projections.
  • No exports between modules. What you create in one view is instantly available in all.

Which 5–8 tools Easylim actually replaces and what that saves

A typical 10-person product team in 2026 runs: Trello or Asana for tasks, Notion or Confluence for docs, Loom for video messages, Figjam or Miro for whiteboarding, Calendly for booking, Toggl for time, with Slack stretched across everything. Combined seat cost: roughly $55–75 per person per month, before Slack.

Easylim covers the task tracker, docs, screen recorder, whiteboard, calendar with booking, and time tracker in one plan. For a 12-person team that's a $300–500/month delta — but the money isn't the point. The point is that the integration tax disappears: no more Zapier glue that breaks every time an API ships a breaking change.

We deliberately don't try to replace Slack. For live conversation, chat is still the right tool. But the threads that turn into "wait, where did we discuss this two months ago?" — those move into comments on tasks and docs. A month in, teams notice Slack volume has dropped 3–4×, because context lives next to the work, not in a chat river.

  • Replaces: Trello, Notion, Loom, Figjam, Calendly, Toggl (6 SaaS).
  • Savings for a 10–15 person team: $300–500/mo — but integration is the bigger win.
  • Slack stays — but message volume typically drops 3–4×.

Who it fits — and why the UI doesn't crack as you grow

Easylim works from 1 person to 1000+, and that isn't a marketing claim — it's a consequence of the graph architecture. A solo founder uses it as a planner + notes + idea base. A 5–10 person startup adds a Kanban and a lightweight roadmap. A 30–80 person SMB layers in departments, automations, and management dashboards.

Bigger orgs (80+) add SSO, audit logs, SLA, custom roles, SCIM. The interesting bit: the UI doesn't change as you scale. Same board, same tasks — just more visibility and governance on top. Nobody re-learns the product, and new hires are onboarded in about a workday.

This is deliberately not the Asana/Jira pattern, where the "startup tier" and the "enterprise tier" are effectively different products. With those, growing your team often forces a migration (Asana → Jira), and you lose history doing it. In Easylim you just turn on more features inside the same UI.

  • Same interface at 1 person and 1000 — no relearning at growth inflection points.
  • Enterprise features (SSO, audit, SCIM) stack on top — they don't change UX.
  • No migration from a "startup" plan to an "enterprise" plan with data loss.

A real workday in Easylim — what Tuesday looks like

09:30 — standup. The team opens the Kanban and spends 7 minutes walking "In progress" left to right. Not status reports — each person points at their card. If something has been sitting for three days, we talk about it. No slides, no Notion page called "Standup notes", no extra Loom.

10:00–12:00 — focus block. An engineer opens the 3 cards they pulled into this sprint. Each card links to its spec doc and an architecture whiteboard. All in one tab. Slack on DND. Comments on the task replace "hey, what does this even mean?" pings.

13:00 — async review. The lead looks at 2 doc drafts, leaves inline comments, approves a PR via the GitHub integration — same window. 16:30 — planning. Move tomorrow's cards, re-prioritise.

18:00. Easylim emails an auto-summary of the day — what shipped, what moved, what's blocked. The manager doesn't have to DM anyone "what happened today?". That whole choreography costs zero tool switches — replacing the ~2.3 hours a day teams used to spend on Slack pings and Notion updates.

  • Standup without slides — walk the Kanban left to right.
  • Context for a task (doc, whiteboard, discussion) is one link away.
  • Auto-summary at 18:00 removes the need for a status meeting.

When Easylim is the wrong choice — and what to pick instead

Easylim is a horizontal tool: it does many workflows well, but no single workflow perfectly. If you need a specialised product with deep vertical capability, Easylim will feel shallow.

Heavy software engineering with git-flow + CI/CD + incident managementJira or Linear. They have epics with three-level subtasks, backporting, release branches. Easylim is fine for engineering teams up to ~30 people; past that, take the specialised tool.

Public-facing knowledge base with SEO (customer docs, hundreds of pages) → Notion or Outline. Easylim docs are great for internal use, but as a public knowledge base Notion still leads on SEO and rendering.

Sales CRM with pipeline and email sequences → HubSpot or Pipedrive. With forms and Kanban you can build a lightweight CRM for up to ~5 sales people — but a real sales stack it is not.

Easy test: if your business is a narrow vertical (a startup unit in big tech, pharma R&D, high-frequency trading) — buy specialised. If you do ordinary team work (product, marketing, ops, agency, consulting, school) — Easylim fits.

  • Heavy engineering with git-flow → Jira/Linear (for 30+ engineers).
  • Public-facing documentation with SEO → Notion or Outline.
  • Sales pipeline with email sequences → HubSpot/Pipedrive.
  • Horizontal vs vertical — Easylim is for broad, not deep.
