Most teams collect submissions through an absurd chain: Typeform → Zapier → Google Sheet → manual copy-paste into Asana → Slack reminder. Result: half the submissions get lost, the other half get answered three days late. Forms in Easylim collapse that flow to one step: respondent fills it in → the submission becomes a task in the right project with the right assignee. Below — how to build that loop, and when this format is the wrong choice.

The standard playbook for collecting submissions: Typeform → answers land in Google Sheet → manual processing. Information falls out at every step — someone forgot to copy, someone missed a row, someone didn't assign an owner. Process Street's 2024 research found that ~22% of submissions in average SaaS teams receive no response within 7 days.
Form-as-task breaks that model. The respondent fills out the form — and the submission instantly becomes a task in your project with every field filled: project name, work type, deadline, attachments, contact email. An assignee is set by rule (round-robin, by project type, by tag), tags are added, priority is set.
This works for any intake process: client onboarding, recruiting, support requests, feature requests, event RSVPs. The pattern is identical: "external person provides data → team does something with that data". Easylim removes the 3 intermediate steps between those two points.

Step 1 — fields. Hit "new form", drag fields in: text, select, multiselect, date, file, number, rating, email, toggle. 12+ types. Tip: keep public forms to 7 fields or fewer — each extra field cuts conversion by ~7% (HubSpot's 2024 conversion benchmark).
Step 2 — conditional logic. Fields can show up based on previous answers. Classic example: "Project type" = "Design" → show "Brand assets"; "Type" = "Engineering" → show "Tech stack". This shortens the form per-respondent and bumps completion rate by 15–25%.
Step 3 — task mapping. The most important step. Specify: which project the new task lands in, what the title is (e.g., the "Project name" form field), who gets assigned (fixed person, round-robin, or by type), which tags, which priority. Every form field auto-maps to a task field — nothing to retype.
Steps 4–5 — publishing. You get a public link like forms.easylim.com/acme-intake. You can embed it in Webflow/WordPress via iframe, attach a QR code, set a custom domain. Respondents don't need an Easylim account — just open, fill, submit.

Validation — set rules per field: email must be valid, number must be in range, file size limit 25MB, text min 10 chars. Invalid submissions never reach your project — the user sees the error and corrects. Saves ~30% of the time you'd otherwise spend on garbage submissions.
Routing — different submissions go to different teams. Classic case: a support form where the "Category" field decides assignee — "Billing" → finance, "Bug" → engineering, "Feature request" → product. One client-facing interface, three internal pipelines.
Webhooks + Zapier — beyond auto-task creation, every submission can trigger a webhook to any external system: CRM (Pipedrive, HubSpot), email marketing (Mailchimp), Slack channel. Use case: a new lead → simultaneously (1) task in Easylim for sales, (2) record in HubSpot, (3) ping in the #leads channel.
Captcha + rate-limiting — public forms always attract bots. Easylim turns on hCaptcha automatically (optional), plus caps at 5 submissions per IP per minute. You can add a honeypot field — a hidden field only bots fill in, and the submission is silently discarded.

Monday — client intake. Agency website has a "new project" form. Monday brought 12 submissions: each one auto-created a task in the "Pipeline 2026" project, assigned to a manager by client type (small biz → Alex, enterprise → Maria). The manager opens the card — brief, budget, deadline, contact, all there.
Tuesday — recruiting. HR opens a Senior Designer role. Candidates fill the careers-page form: portfolio link, expected salary, relocation willingness. 47 candidates in a day. Conditional logic: if experience < 3 years → auto-rejection with a polite email. Otherwise → task in HR pipeline tagged "to-screen".
Wednesday — feature requests. Product team runs a "Suggest a feature" form. 8 new ideas. Each becomes a task in the product backlog tagged "from-users". Once a month the PM opens backlog → filters by "from-users" → sees 12 people asked for the same feature → prioritizes.
Thursday — webinar RSVP. 234 signups in a day. Each record isn't a task — it's a CRM contact (via webhook). But if someone ticks "want a 1:1 demo" → a task is created for sales with the contact and topic.
Without form-as-task: 12 + 47 + 8 + 234 = 301 submissions, each requiring someone to manually create a record in different places. With Easylim — 0 manual work, fully automatic.

Multi-step quizzes with progress bars and animations (the "What's your brand?" 50-step Typeform with GIFs) aren't the target case for Easylim. Our forms are tuned for fast intake, not marketing quizzes with conversion optimization. For the latter, Typeform, Tally, and Jotform stay better.
Collecting payments — Easylim forms don't accept payments. If you need "event signup + $50 charge", use Stripe Payment Links, Eventbrite, or Stripe Checkout. You can combine: respondent pays via Stripe, then a Stripe webhook creates a task in Easylim with the form data.
High-security data (HIPAA medical records, PCI-DSS payment info, KYC identity docs) — Easylim isn't certified for these compliance frameworks. For HIPAA — Cognito Forms, JotForm HIPAA. For PCI — specialized payment providers.
Anonymous surveys with analytics (NPS across 500 respondents, copy A/B tests, deep response-pattern analytics) — Easylim has basic submission analytics, but won't replace SurveyMonkey, Hotjar, or Mixpanel for serious analytics. For NPS and CX research — dedicated tools.
As alternatives inside Easylim: for inbound requests without a form — use a public link to a board (client writes directly there). For async comms — clips. For open dialogue — invite as guest in your team workspace.
